When Planning a Reception
Make sure that you establish a schedule ahead of time. It is not necessary to break your schedule into 15 minute intervals, a simple order of events is sufficient! Don't forget to place announcements and song requests next to the corresponding event.
The DJ and vendors should be set up and ready to go before guests arrive. Navigating through crowds can cause delays.
Songs for special events such as the first dance and the father daughter dance should be selected ahead of time!
Consider the announcements that need to be made in advance and include them on the schedule, we realize this is not always possible!
Important details such as electrical accommodations, the DJs setup location and time of day for lighting purposes should be taken into consideration ahead of time.
Make sure there are no surprises for the DJ during setup such as unexpected obstacles (including guests), stairs, narrow corridors or excessive distances(more than 100ft).
If you make any change to the schedule, make sure that all of your vendors receive a revised version of the entire schedule. This is very important!
Your DJ can be utilized as a coordinator so that all of your vendors stay synchronized. Make sure that the photographer, videographer, caterer and officiant all coordinate to one central point of contact.
Guests can cause unnecessary distractions for the DJ. You will want him or her focused on your event instead of answering questions about the latest RNB album. Find a friend or relative that can help with crowd control, especially if your guests will be drinking alcohol.
